What you will do

As our Operations Manager, you’ll be the backbone of our agency, ensuring smooth operations across finance, HR, and administration. This role will significantly impact our company’s success now and in the future.

Your contributions will enable our team to do what they do best: design exceptional user experiences that deliver better outcomes for organisations.

Key responsibilities

Finance

  • Use Bukku to create and manage invoices with precision.
  • Prepare and submit employee timesheets across various client portals.
  • Follow up on overdue invoices and escalate where necessary.
  • Process and approve claims through kakitangan.com.
  • Calculate and manage monthly withholding tax for international subscriptions.

HR

  • Coordinate performance reviews, preparing documents and updating records.
  • Manage leave tracking via kakitangan.com and other tools.
  • Oversee onboarding and offboarding processes, creating a seamless experience for every team member.
  • Draft professional correspondence in English and Malay, for employees, government entities, and beyond.

Administrative

  • Manage medical insurance subscriptions and support medical claims processes.
  • Collaborate with the management to keep business tool subscriptions efficient and cost-effective.
  • Oversee company assets, ensuring tracking of used and smooth requisitions of new devices.

What we’re looking for

  • A proactive mindset with excellent organisational skills.
  • Comfortable navigating financial software and HR systems and helping to select and adapt new tools, where necessary.
  • Strong written and spoken communication skills, in English and Malay.
  • Confidence in managing multiple tasks and setting priorities effectively.
  • A positive, team-first attitude and a strong drive for continuous improvement.
  • Sharp eye for detail to avoid costly mistakes.
  • Automation-first mindset, if there is a tool for the task it must be used.

What we expect

  • Minimum 2 years of experience in a similar role
  • Experience with Xero / Bukku / kakitangan.com or similar tools.
  • Fully remote working arrangement, using Slack, Zoom and Google Workspace
  • Work closely with management for smooth workflow operation

Salary

From MYR 6,000 – RM 8,000 depending on experience

Role requirements

  • Diploma or Degree in Business, Admin or relevant fields.
